What is it?

A project sets up a customer job that repeats on a schedule — for example a weekly cleaning or a monthly service visit. On the project you define how often it repeats, the price and items, any RUT/ROT tax deduction, the assigned employees, and a checklist. BOS then generates the individual Orders from this rule; the project is the one place to change the recurring pattern or close, pause, or reactivate the whole series.

You'll find it under Projects → Projects.

How to

Create a project

  1. Go to Projects → Projects.
  2. Click Create project.
  3. Choose the Service and the Customer.
  4. Set the Start date.
  5. Choose Recurring (Customized) or Never for a one-off job, then set how often it repeats and on which weekdays or monthly pattern.
  6. Choose whether the project ends Never or On a specific date.
  7. Set the time — Specific time, Hours, or Flex.
  8. Assign one or more employees.
  9. Click Create.

Note: New projects are Published in employee app by default, so assigned employees can see them straight away. Turn this off if you're not ready for that.

Note: If you choose Never for recurring, you'll be asked to confirm — the project will be created without a recurring rule.

Price a project and add items

  1. Open the project and go to the Invoicing tab.
  2. Choose a Price type — Price Per Item, Hourly price per employee, or Fixed.
  3. If a Swedish tax deduction applies, choose Rut or Rot under House work type.
  4. Add items with a title, quantity, and price, and mark any that qualify as housework.

Important: Changing the price type or house work type after items exist removes or clears those items — you'll be asked to confirm first.

Add a checklist

  1. Open the project and go to the Checklist tab.
  2. Add tasks, or pull in a predefined checklist.
  3. Reorder or remove tasks as needed.

Change the recurring rule

Once a project is saved, use the ⋮ menu next to the recurring summary:

  • Update recurring rules — change the interval, weekdays, or monthly pattern.
  • Change week — move the recurrence to a different week (weekly projects only).
  • Change start/end date — update the start date (weekly projects only) or the end date.
  • Remove recurrence — turns the project into a one-off with no repeat.

Each change asks you to choose a date the update takes effect from, and can optionally remove active orders scheduled before that date. Completed, cancelled, and locked orders are never affected.

Close, pause, or reactivate a project

  • Close project — set an end date; active orders after that date are removed. Use this to end a recurring series for good.
  • Pause project — choose a date range; all active orders in that range are cancelled. The project itself stays open.
  • Reactivate project — available once a project is closed; set a new start date and ending.

Find these under the project's … menu, or use Bulk actions on the list to close, pause, or delete several projects at once.

Send a confirmation, reminder, or message

  1. Open the project and use the … menu — or, while creating a new project, tick the option to send an SMS or email confirmation.
  2. Choose SMS send or Email send.
  3. Choose to send it now or schedule a reminder before each order.

Attach a document

  1. Open the project's Attachments section, or use … → Attach document.
  2. Click Upload.
  3. Choose a PDF, PNG, or JPEG file, up to 5 MB.

View a project's orders

Click Show Orders on an open project to see every order it has generated, including any that were updated or removed.

Delete a project

  1. Open the project and use … → Delete project.
  2. Confirm.

Important: Deleting a project deletes all of its active orders. If you want to keep that history, close the project instead.

What do the fields mean?

Status

Status

Meaning

Active

The project is running and generating orders.

Closed

The project has ended. No new orders are generated.

Repeat

A summary of the recurring rule, such as "Repeat every 1 week on Mon, Wed", or "No recurring rules added" for a one-off project.

Price type

  • Price Per Item — based on the items added to the project.
  • Hourly price per employee — based on the hours worked by the assigned employees.
  • Fixed — one agreed price for the whole series.

House work type

Whether a Swedish tax deduction applies: None, Rut, or Rot. When set, items can be marked as housework and given a specific category.

Published in employee app

Whether assigned employees can currently see this project (and its orders) in the employee app.

Read receipts

When on, employees can send a delivery/read receipt confirming they've seen an order from this project.

Time type

  • Specific time — a fixed start and end time.
  • Hours — a total number of hours, without fixed start/end times.
  • Flex — a general Flex, Morning, Afternoon, or Evening slot.

Employees

The employees assigned to the project. Up to 15 can be added.

Notes

Free-text notes about the project. The character limit depends on your plan.

Attachments

Files attached to the project — PDF, PNG, or JPEG, up to 5 MB each.

Price list tab

A separate view (Projects → Price list) that groups items by title across all your projects, so you can review and bulk-update pricing in one place.

Good to know

  • Orders generated from a project inherit its date/time pattern, price type, and RUT/ROT type. To change those for the whole series, change them here — not on an individual order.
  • Deleting a single order never ends the series. To end it, close the project instead.
  • Pausing a project cancels active orders in a date range but keeps the project itself active; only closing changes its status.
  • Assigned employees can have up to 5 extra time/travel activities each, and this requires the Standard plan or above.
  • Scheduling an email reminder requires the Pro plan; you can still send an email immediately on any plan.
  • What an employee can see about a project's customer depends on the permissions set for them under People → Users. Creating, updating, and uploading attachments also depend on your own permissions.
  • If Projects is missing from your menu, the module may be switched off for your company in Company settings.
