What is it?

Eboka connects BOS to your online booking site. When a customer books through your Eboka site, the booking arrives here as a web order. You review each one, match it to a customer and a service, confirm the date, time and price, and then approve it to turn it into a real order (or a recurring project, if it repeats).

You'll find it under Projects → Eboka (Web orders).

How to

Review a web order

  1. Go to Projects → Eboka (Web orders).
  2. Click a row, or its Review button.
  3. Under Title, match the incoming service to an existing BOS service, or click Create service now to add it on the spot.
  4. Under Customer, search by name, ID or address to match an existing BOS customer, or click Create new customer if none matches. The customer form opens pre-filled with the details from the booking.
  5. Check the Date/time section, and turn on Recurring if this should become a repeating project instead of a one-off order.
  6. Add or check any employees under Employees, and review the Pricing section — price type, RUT/ROT, and line items.
  7. Click Approve to just mark the order approved, or Approve & create order (or Approve & create project, if Recurring is on) to create it in BOS straight away.

Note: You can't create the order or project until the title, customer, and date are all filled in. If it's a weekly recurring order, at least one repeat day is required too.

Reject a web order

  1. Open the web order.
  2. Click Reject.

Important: Rejecting happens immediately — there's no confirmation step, so make sure it's the one you meant to reject.

Add or edit a line item

  1. In the review screen, go to Pricing.
  2. Click Add item, or the edit icon on an existing item.
  3. Search for or create the item, and enter a Title, Quantity, Price, Vat, and Unit.
  4. If RUT or ROT applies to the order, tick House work and choose the work type.
  5. Click Submit.

Manage the connection

  1. Click the Settings icon on the web orders list.
  2. Click Sync Now to refresh the connection status.
  3. Click Remove integration to disconnect Eboka entirely, and confirm. This takes you back to the Eboka connect screen.

Status

Status

Meaning

New

Just arrived from Eboka, not yet reviewed.

Reviewed

The customer hasn't confirmed the booking on Eboka yet, so it can't be approved or turned into an order.

Approved

You've approved it. If no order or project has been created yet, it's still waiting on that step.

Rejected

You declined the web order.

The list also shows a few extra pills: Order created (or Order #...) once an order or project exists, Order pending for an approved order that hasn't been created yet, and Needs attention for a new booking with no confident customer match or no price.

Flexible time

Lets the customer's requested time be a window instead of an exact time: Flex, Morning, Afternoon, or Evening. Leave it off to set an exact Start time and End time instead.

Recurring

Turns the web order into a recurring project instead of a single order. Set how often it repeats, and — for a weekly repeat — which days.

Price type

  • Price per item — priced from the line items you add.
  • Price per employee — priced by the hours the assigned employees work.

RUT/ROT

Whether a Swedish tax deduction applies to this order: None, RUT, or ROT. When set, individual line items can be marked as housework with a specific work type.

Good to know

  • Approving and creating an order opens it directly in the regular Orders screen; it's marked there as a web order. Turning on Recurring opens it in Projects instead.
  • Creating a new customer from a web order automatically switches on that customer's access to log in and view their bookings — you can change this later on the customer's Customer login tab.
  • This requires at least the plan level that also unlocks customer login; if the page is missing from your menu, check your subscription plan or ask whether the module has been switched off in Company settings.
  • Only Admins and Owners can access Eboka (Web orders).
  • What you can do inside a web order — for example whether Approve & create order is available — can depend on your permissions, set under People → Users.
