What is it?

Your customer register. Every order, project, proposal, and invoice is tied to a customer, so this is usually one of the first things you set up. A customer can be a private individual or a company.

You'll find it under Projects → Customers.

Customers list
  1. Name
  2. Personal/Org. number
  3. Status
  4. Mobile
  5. Area

How to

Add a customer

  1. Go to Projects → Customers.
  2. Click Create new.
  3. Choose Private or Company.
  4. Enter their Name and other details.
  5. Click Submit.

Note: Only Name is required to save a customer. A few other fields, like postal code, area, and payment terms, only become required once you export the customer to Visma.

Import customers

  1. Go to Projects → Customers.
  2. Click Import Customer.
  3. If you use Fortnox or Visma, search by customer ID to import or update a single customer, or click import all customers to bring your whole register across at once.
  4. If you don't use an integration, upload a CSV or Excel file (up to 2,000 rows), match your file's columns to BOS's fields, and confirm.

Look up official address details

  1. Open or create a customer.
  2. Click Fetch customer details.
  3. Search by personal number or organisation number.
  4. Click Use these details to fill the name, address, and number into the form.

Note: This looks up official records from Skatteverket and requires a one-time BankID agreement to be signed first. Each search may carry a small cost beyond what's included in your plan.

Add an internal note

  1. Open the customer's Basic tab.
  2. Click Add Internal note.
  3. Enter the note and save.

Internal notes are only visible to administrators when creating an order, project, or proposal — use them for things like past payment issues. This is different from the Notes tab, which is for ongoing notes your whole team can see.

Add a tax payer for RUT or ROT

  1. Open the customer's House work tab.
  2. Click Add new person.
  3. Enter their name and personal number.
  4. Save.

RUT/ROT deductions are automatically divided between the people listed here when an invoice is created.

Give the customer online access

  1. Open the customer's Customer login tab.
  2. Turn on the access toggle.
  3. Use Resend login instructions if they need their details again.

Note: Customer login requires the Standard plan or above.

  1. Open the customer, or find their row in the list.
  2. Click the Export / Import customer button.
  3. Search for a matching record by ID, or enter a customer number and click Export.

Deactivate or delete a customer

  • Deactivate — keeps all their history but stops new orders from being created for them. Select the customer, choose Deactivate, and confirm.
  • Delete — select the customer, choose Delete, and confirm.

Important: Deleting a customer also deletes every project, order, and proposal linked to them. If you want to keep that history, deactivate the customer instead.

What do the fields mean?

Basic tab

  • Private / Company — which kind of customer this is.
  • Name — required.
  • Personal number / Organisation number — whichever applies, based on Private or Company.
  • Contact person, Email, Invoice email, Mobile, Telephone — how to reach the customer.
  • Internal note — see How to above.
  • Address — searchable address field, plus Address 2, Postal code, Area, and Country.
  • Other address — extra addresses for this customer, marked as a Delivery address, Visiting address, or Other address, each of which can be shown or hidden on orders.
  • Door code, Key, Additional information — details useful when carrying out the work.

Invoice detail tab

  • Interest Included / VAT Included — whether prices already include these.
  • Payment Terms — the payment term applied to this customer's invoices.
  • Invoice Delivery Method — Print out or Email.
  • VAT registration number / VAT type.
  • Customer reference / Our reference.
  • Property designation/Apartment number and Housing association registration number — used for ROT deductions on housing-association properties.
  • Invoice fee — an extra charge added to invoices for this customer.
  • Invoice text — a note printed on the customer's invoices.

House work tab

The people RUT/ROT deductions apply to. A private customer is always listed here automatically; add others alongside them if the job benefits more than one person.

Notes tab

Ongoing notes about the customer, marked Internal (admins only) or External (visible to employees too).

Key tab

Keys held for this customer's premises, and any notes about them.

Customer login tab

Turns on the customer's access to the customer portal, where they can view their invoices, their booking times, and the employees assigned to their jobs.

Attachments tab

Documents attached to the customer, which can also be shown on their orders.

Orders, Projects, Invoice history tabs

A read-only history of everything tied to this customer — their orders, projects, and (if you use Fortnox or Visma) past invoices.

Good to know

  • What an employee can see about a customer — phone number, address, door code, keys — depends on the permissions set for them under People → Users.
  • Once linked to Fortnox or Visma, a customer shows as Integrated and carries the customer number from that system.
  • Deleting a customer cascades to their projects, orders, and proposals — deactivate instead if you want to keep the data.
  • Customer login and the Skatteverket address lookup are both plan-dependent features.
