What is it?
Your catalog of products, materials and services. You build this list once, then reuse it wherever you need to add a priced line — on an Order's Invoices tab, a Project's price tab, a Proposal, an Employee Activity, or a web order from Eboka. If your company is connected to Fortnox or Visma, this is also where each catalog item gets linked to (exported to, or imported from) the matching item in your bookkeeping system.
You'll find it under Projects → Items.

- ID
- Title
- VAT %
- Unit
- Incl. Price
- Excl. Price
If you use Fortnox or Visma, the list also shows a Type (Fortnox only), Account (Fortnox only), Errors, and a Fortnox ID/Visma ID column — the last one doubles as an Export button for items that aren't linked yet.
How to
Add an item
- Go to Projects → Items.
- Click Create new.
- Enter a Title, choose the Vat rate and Unit, and enter the Price incl. VAT and Price excl. VAT (the other one fills in automatically).
- If this is a Fortnox or Visma company and the item qualifies for a Swedish tax deduction, tick Housework and choose the housework type.
- Click Save — or Save and Export/Save and sync if you also want to send it to Fortnox or Visma straight away.
Note: If the incl./excl. VAT prices you entered don't add up, BOS corrects them for you and asks you to confirm before saving.
Import items from Fortnox or Visma
- Go to Projects → Items and click Import items.
- To bring in one item, enter its item number and click Search, then Import/Update.
- To bring in everything at once, click Import all items. Items already linked to your bookkeeping account are updated; new ones are added. You can close the window and keep working while this runs.
Note: Only items with a title, VAT, and unit set in Fortnox will be imported into BOS.
Export an item to Fortnox or Visma
- In the item list, click Export in the Fortnox ID/Visma ID column for any item that isn't linked yet.
- For Visma, you'll be asked to confirm or choose the item number before exporting.
An item needs a price before it can be exported.
Manage units (Fortnox and non-integrated companies)
- Open an item and use the Unit dropdown.
- Click + Add new unit to create one, or the pencil icon to edit an existing one.
- Enter a Unit Code and Description, then save. You can also delete a unit from here.
Delete items
- Select one or more items in the list.
- Click Delete and confirm.
Important: An item that's used on a project or order can't be deleted — remove it from those first.
What do the fields mean?
Field | Meaning |
|---|---|
Title | The item's name, required. |
Housework | Whether this item qualifies for a Rut/Rot tax deduction. Only shown for Fortnox/Visma companies. |
Housework type | The category the deduction falls under, such as Cleaning or Construction. Can't be set to "Empty housework" or "Other cost" while Housework is ticked. |
Type | Stock or Service. Defaults to Service; Stock isn't available for housework items. Only shown for Fortnox/Visma companies. |
Vat | The VAT rate applied to this item. |
Unit | How the item is measured or sold, e.g. hours. |
Account Search | The Fortnox sales account this item posts to. Fortnox companies only. |
Price incl. VAT / Price excl. VAT | The item's price with and without VAT. Both are required, and editing one recalculates the other. |
Active | Whether the item can still be picked when pricing an order, project or proposal. Only shown once an item has been saved. |
Fortnox ID / Visma ID | The item number in your bookkeeping system, once linked. |
Errors | Any error your bookkeeping system returned for this item — click it to read the full message. |
Good to know
- What you can do here depends on your permissions, set under People → Users — an admin without the right permission will see an "Access denied" message instead of the page.
- If Items is missing from your menu, the module may be switched off for your company in Company settings.
- Importing or syncing items from Fortnox or Visma requires a higher-tier plan; below that, the Import items dialog is shown but disabled with an upgrade prompt. Adding and editing items manually is available on every plan.
- Items are shared across the app — the same catalog is searched when you add a line to an Order, Project, Proposal, Employee Activity, or Eboka web order.
- If you delete a customer, project, or order, its items stay in this catalog; items can only be deleted from here, and only if nothing still uses them.
