Checklist
Checklist is your library of reusable task lists — for example a "Pre-departure inspection" list with all the tasks it should include. You build these once here, then add them to orders, projects, and proposals so employees know exactly what to do and can check tasks off as they're completed.

How to
Create a checklist
- Go to Project → Checklist.
- Click Create new.
- Search for an existing Task category, or type a new name to create one.
- Click Add Task and search for an existing task, or type a new one and press enter to add it.
- Repeat to add as many tasks as you need. Drag a task by its handle to reorder it.
- Optionally, search Collections to tag the checklist — type a new name to create a tag on the fly.
- Click Submit.
Note: A checklist needs a Task category and at least one task before it can be saved.
Edit a checklist
- Click a row in the list to open it.
- Change the tasks, tags, or category.
- To edit a task's text, open its ⋯ menu and choose Edit. To remove it, choose Delete.
- Click Submit.
Note: You can't delete the last remaining task on a checklist — add another one first if you want to replace it.
Add a checklist to an order, project, or proposal
- Open the order, project, or proposal and go to its Checklist tab.
Search by Checklists, Categories, or Collections, and add the result you want.
- Adding a Checklist copies all of its tasks across.
- Adding a Category adds an empty checklist under that category.
- Adding a Collection adds every checklist tagged with it.
- Check off tasks as they're completed. You can drag tasks to reorder them.
Rename or recolor a tag
- In the checklist form, click a tag chip under Collections.
- Update the Title or pick a different color.
- Click Submit.
Important: This changes the tag everywhere it's used, on every checklist it's attached to.
Download or delete checklists
- Tick the checkbox on one or more rows.
- Click Download to get a PDF of the selected checklists.
- To delete, select a single row, click Delete, and confirm.
Note: Delete only works one checklist at a time, even though you can select and download several at once.
What do the fields mean?
Task category
The subject the checklist is built around, such as "Pre-departure inspection." Each checklist has exactly one category.
Tasks
The individual items on the checklist. Each one can be reordered, edited, or deleted from the checklist form.
Collections / Tags
A label you can attach to a checklist to group related checklists together, so you can add several at once to an order or project. This is shown as Collections when editing a checklist, and as Tags in the list column — they're the same thing.
Total
How many tasks are on that checklist.
Good to know
- This page is only visible to admins and owners, and only if your role has permission to view checklists — set under People → Users.
- If Checklist is missing from your menu, the module may be switched off for your company in Company settings.
- Task titles can be up to 255 characters.
- Checklists you build here are templates. Checking tasks off happens on the order, project, or proposal they've been added to — not on this page.
