What is it?

Shifts is where you create and manage individual work shifts — set the time, assign employees (or let them claim it themselves), and track their worked hours.

You'll find it under Shift and Scheduling → Shifts in the main menu.

Note: Recurring shift patterns, Shift types (Jobs), and Workplaces each have their own separate pages — see those guides for full detail on setting those up.

  4. Shift type
  5. Single/Recurring

How to

Create a shift

  1. Go to Shift and Scheduling → Shifts.
  2. Click Create new.
  3. Choose the Start date, Start time, and End time.
  4. Choose a Shift type, and a Workplace if this shift happens at a specific address.
  5. Under Employees, search for and add who's working it — or turn on Enable user to claim shift to post it as an open shift instead (see below).
  6. Add a description if useful.
  7. Click Create.

Note: New shifts are Published by default, meaning they're visible right away. Turn Publish off in the timing section if you're not ready for that yet.

Set a break

  1. In the shift's timing section, choose a Break time type — None, a start and end time, or a total duration.
  2. Fill in the time(s).

Note: A break must fall within the shift's own hours.

Post an open shift for employees to claim

  1. In the shift, turn on Enable user to claim shift.
  2. Set the number of spots available.
  3. Choose who can apply — only available employees (no scheduling conflicts) or all employees — or click through to hand-pick specific people instead.
  4. Turn on Requires approval if you want to review claims before they're confirmed, or leave it off so the first people to claim a spot get it automatically.

Note: If a recurring schedule is behind this shift, you can apply the open-shift settings to just this date, or to all future occurrences.

Note: Claims that need your approval are reviewed under Approval requests, not here.

Manage an existing shift

Open the shift and use the ⋯ menu to:

  • Copy — creates a duplicate you can adjust.
  • Complete / Reactivate — marks the shift done, or reopens a completed one.
  • Delete — removes the shift.

Important: Deleting a shift can't be undone.

Edit or delete a shift that's part of a recurring schedule

When you change or delete a shift that belongs to a recurring pattern, choose:

  • Current shift — just this one.
  • This and Future Shifts — this one and every occurrence after it.

Note: If you've already changed an employee's time on this shift, only "Current shift" is available.

Review and adjust an employee's time on a shift

  1. Open the shift, and click the employee in the Employees list.
  2. Adjust the start time, end time, or break.
  3. Use the buttons here to see punch history, the punch location on a map, or a change history of past edits.
  4. Click Approve once it's correct.

Note: You can only do this for a shift that's today or in the past.

If an employee forgot to punch in or out, click Missing punches to add the times manually.

What do the fields mean?

Publish

Whether the shift is visible right away. Turned on by default.

Shift type

The kind of work this shift is for. Set up and managed on the separate Shift types page.

Workplace

The address where the shift takes place, if any.

Single / Recurring

Whether this shift stands alone, or is one occurrence of a recurring schedule.

Enable user to claim shift

Turns the shift into an open shift that eligible employees can claim, instead of being directly assigned.

Requires approval

Whether a claimed open-shift spot needs your approval, or is confirmed automatically.

Good to know

  • Shifts requires the Shift and Scheduling module to be turned on for your company.
  • An open shift can have up to 50 spots.
  • There's no bulk-select on the Shifts list — actions are taken one shift at a time.
  • Approving or denying a claim on an open shift happens under Approval requests, not on the shift itself.
  • You can't edit an employee's time on a shift that hasn't happened yet.
