What is it?

Time Management gives you an overview of every employee's worked hours, absences, and other compensation for a chosen period, so you can review and approve their time before payroll — and export it for Fortnox, Visma, or Excel.

You'll find it under Time → Time Management in the main menu.

How to

Review employee time for a period

  1. Go to Time → Time Management.
  2. Set the date range at the top, and search for an employee by name if needed.
  3. Use the filter chips to narrow the list further — by customer, time type, service, active/inactive employees, approval status, or customer type.

Five totals are shown at the top of the page for the selected period: Order/Project time, Shift time, Other time, Absence, and Other expense — the first three also show what share of the total each one is.

Understand the overview list

Each row is one employee, showing:

  • Employee — their name, employee number, and whether they're paid hourly or by salary.
  • Order time and Shift time — total hours, with the underlying punch in/out time shown underneath.
  • Other time — hours like travel time or overtime.
  • Absence — how many absence records they have in the period.
  • Other expense — mileage and expense claims, as an amount.
  • Salary based on — icons showing which of the above categories make up their pay.
  • Approved — what share of their entries have been approved so far.

Click a row to open that employee's time sheet for the period. Clicking their name or avatar instead opens their user profile.

Approve time

  1. Open an employee's time sheet.
  2. Expand a date to see the individual entries, and tick the ones to approve — or use that date's Approve all time button to approve everything for that day. You can also tick Select all unapproved entries to approve the whole period at once.
  3. Click Approve all time (N) at the bottom.
  4. If any selected entries are based on a schedule with punch-in/out data, choose whether to approve using the scheduled time or the punched time — you'll see a breakdown by category and a total before confirming.
  5. Confirm.

Note: Approved time can still be changed afterwards.

Look at or fix an individual entry

Click an entry in the expanded list to open it — where it opens depends on what kind of entry it is:

  • Order or shift entries open that order's or shift's own drawer, where you can adjust the start time, end time, and break time (if you have permission to edit break time).
  • Absence entries open the absence dialog.
  • Travel time or overtime entries open the "Other time" dialog.
  • Expense or mileage entries open the "Other expense" dialog.

Note: See the Absence, Other time, and Other expense guides for full detail on those dialogs.

Export time for payroll

  1. On the Time Management page, click Export.
  2. Choose the period — a specific month, or a custom date range.
  3. Choose the format: Excel, PAXML (for Fortnox or Crona Lön), or TLU (for Visma Lön 600).
  4. Choose All employees, or pick specific ones — you'll be warned if someone was already included in an earlier export for the same filters.
  5. Choose which employees to include by active status, and which time entries by approval status.
  6. Choose which time types to include — order, shift, other time, absence, and other expense — either using each employee's default settings, or picking manually.
  7. Tick Mark as exported if you want BOS to remember these records were exported.
  8. Click Next to preview a summary per employee, then Export to download the file.

Note: This downloads a file — it doesn't send anything directly to Fortnox or Visma. You'll need to import the file into that system yourself.

Note: If any time codes or entries turn out to be invalid for the export, BOS shows you a warning list afterwards, listing the affected employees and records — the file has already been downloaded by that point, so check the warning before importing it. If codes required for Visma are missing entirely, the export is stopped instead and you're shown which codes are missing.

Check past exports

Open the History tab in the export dialog to see previous exports — the period, what was included, and which employees were covered. This is a read-only log — you can't re-download an old file from here.

What do the fields mean?

Order time / Shift time

Hours worked on orders and scheduled shifts, including the underlying punch in/out time.

Other time

Hours logged that aren't tied to a specific order or shift, such as travel time or overtime.

Absence

The number of absence records (vacation, parental leave, sick leave, child care, or other) in the period.

Other expense

Non-time compensation, such as mileage or expense claims.

Salary based on

Shows which of the above categories make up an employee's salary for the period.

Approval ratio

The share of an employee's time entries that have been approved so far, shown as a colored bar — red for mostly unapproved, up to green once most entries are approved.

Status (entry)

Approved or Not approved — whether that specific time entry has been signed off.

Export format

  • Excel — a spreadsheet.
  • PAXML — for importing into Fortnox or Crona Lön.
  • TLU — for importing into Visma Lön 600.

Mark as exported

Records that an export has already happened for these records, so BOS can warn you if you try to export the same employee's time again.

Good to know

  • Time Management requires the View time management permission, and the Time Management module must be turned on for your company. There's no plan restriction on this feature.
  • You can't add a brand-new time entry directly from an employee's time sheet — entries come from their bookings, shifts, or from the Absence/Other time/Other expense pages.
  • Approving is done per entry, per date, or for a whole employee's period at once — there's no single button to approve every employee at once.
  • You can't switch to a different employee or period from inside an open time sheet — close it and pick another row from the list.
  • Exporting doesn't send anything to Fortnox or Visma directly — you still need to import the downloaded file yourself, and any invalid codes or entries are only flagged after the file has already downloaded.
