Settings
Settings is where you configure how BOS works for your whole company — bookkeeping integrations, SMS, sales accounts, work rules, the customer portal, permissions, and which feature modules are switched on.
What is it?
Settings is where you configure how BOS works for your whole company — bookkeeping integrations, SMS, sales accounts, work rules, the customer portal, permissions, and which feature modules are switched on.
You'll find it by clicking your avatar in the top-right corner, then Settings. It's a single scrolling page with a section menu down the side.
Note: Only owners and admins with settings access see this page — employees never do.

How to
Connect a bookkeeping system
- Go to Settings → Integration.
- Click Integrate next to Fortnox or Visma.
- Follow the prompts to connect your account.
Once connected, the row shows an "Integrated" status. Click Remove integration and confirm to disconnect.
Note: You can only connect one of the two at a time — once one is connected, the other option is hidden until you remove it.
Turn on external API access
- Go to Settings → Integration, and click Integrate next to API.
- If this add-on isn't active on your plan yet, you'll be sent to My subscription to turn it on first.
- Once active, click API keys to generate and manage your API keys.
Note: Requires the Standard plan or higher, plus the External API add-on.
Activate SMS
- Go to Settings → SMS.
- Click Activate next to Order SMS or Proposal SMS — these are switched on separately.
- Set a sender name — letters, numbers, and spaces only, 1 to 11 characters.
The row shows Active once approved, or Awaiting approval while your request is being processed. Click Open settings to change the sender name, or edit that SMS type's message templates from its own settings page. Click SMS history to see what's been sent.
Note: SMS isn't available while your company is on a trial.
Set your default sales account
Note: Requires a Fortnox connection, and owner access.
- Go to Settings → Sales account / Work codes.
- Click Default sales account, and choose an account.
A warning icon shows on this row if no default account is set yet. Click Accounts to browse your full list of Fortnox accounts.
Manage payroll time codes
Go to Settings → Sales account / Work codes, and click Work codes to open the time codes page, where you can turn individual codes on or off and choose whether employees can see them.
Set up an Unsocial Hours Bonus rule
- Go to Settings → Unsocial Hours Bonus, and activate it if it isn't already.
- Click Open settings.
- Click Create new, and give the rule a name.
- Set a Start time and End time for when the bonus applies.
- Choose the Type (time code) the extra hours should be recorded under.
- Choose which weekdays it applies to, or tick Red days only to apply it to public holidays instead.
Note: Requires the Standard plan or higher.
Create a weekly work plan
- Go to Settings → Weekly Work Plans, and click Open settings.
- Click Create new, and give the plan a name.
- Set the total Hours/Week.
- Tick each working day and set its hours.
A check or warning icon shows whether your daily hours add up to the weekly total.
Manage attachments and storage
Go to Settings → Attachments, and click Open settings to open the attachment manager, where you can search, browse, and delete uploaded files, and see how much of your storage plan is used.
Note: Requires the Standard plan or higher.
Control what customers can do in their portal
- Go to Settings → Customer Portal.
- Turn on Disable all customer changes to block every self-service request at once — this overrides the two options below it.
Otherwise, choose individually:
- Allow date change requests
- Allow cancellation requests
- For each one you allow, click Edit rule, turn it on, and set how many days before the order's date a customer can still submit that request.
- Turn on Show invoices if customers should see an invoices tab in their portal.
- Open Visible fields, and add or remove which order details — like address, price, employee name, or notes — customers can see.
Set general company rules
Go to Settings → Permissions / General to reach the settings below. Module Visibility is covered separately further down.
Organization Setting
Two independent toggles:
- Auto update booking invoice time when employee update time — keeps a booking's invoice time in sync automatically when an employee changes their worked time.
- Allow updating customer in bookings — lets the customer on an existing booking be changed.
Organization Schedule setting
Note: Requires the Standard plan or higher.
Controls how far ahead employees can see upcoming orders and shifts in the employee app.
- Turn the setting on.
- Enter a number of days (1 to 365).
Note: Employees can always see up to 90 days into the past, regardless of this setting.
Punch time setting
Note: Requires the Standard plan or higher.
Controls how early an employee is allowed to punch in before their shift's scheduled start time.
- Choose Any time on order day for no restriction, or
- Choose Set early punch time duration and enter how early (up to 1 hour).
Break Time setting
Also called Auto break deduction. A list of rules that automatically deduct unpaid break time based on how many hours an employee has worked — for example, working 6 hours automatically deducts a 30-minute break when they punch out.
- For each rule, set the working time threshold (a slider) and the break duration to deduct.
- Turn the rule on or off, and save.
You can have several rules active at once, each for a different number of hours worked.
Booking update (Constitutions)
Two fixed message templates shown to customers, which you edit the text of — you can't add more than these two:
- Cancellation message — shown when a booking is cancelled.
- Date change message — shown when a booking's date changes.
Red Days / Holidays
Choose how red days (public holidays) are handled:
- Default — BOS's built-in public holiday calendar, browsable year by year.
- Custom — add your own holidays with a name (up to 50 characters) and a date, and delete any you've added.
Either way, you can also pick a highlight color for red days, and separately choose to highlight Saturdays and/or Sundays with their own color.
Payment Terms
A list of payment terms you can attach to invoices — for example "Net 30."
- Click Create new.
- Enter a Title (for example "Net 30") and a Code (letters and numbers, up to 10 characters).
- Save.
Mark one term as your Default. If you're connected to Visma, the code must be one of a fixed set Visma accepts, and you can't create new terms manually — click Sync with Fortnox instead if you're on Fortnox, to create and sync a term in one step.
Note: System terms and Visma-synced terms can't be edited or deleted, and a term that's inactive or unsynced can't be set as default.
Switch a module on or off
- Go to Settings → Permissions / General → Module Visibility.
- Turn modules on or off. A group with several related modules can be switched all at once with its group toggle, or expanded to switch each one individually.
- Click Confirm to save your changes.
Important: Turning off a module hides that feature immediately — there's no warning step before you confirm.
If a module is off and someone opens that feature anyway, they see a "Module Deactivated" message. Only the owner sees a shortcut back to Module Visibility to turn it on again — everyone else just sees a message to contact their company owner.
Review company activity
Go to Settings → History to open a page with three tabs.
History
A log of changes made in your company account. Each row shows the date and time, who made the change, which area of BOS it happened in ("Program"), a record ID, and a short description of what happened.
Filter the log by date range, customer, booking ID, program, and — once you've picked a program — a more specific heading within it.
Note: How far back you can filter depends on your plan: 30 days on Basic, 180 days on Standard, 365 days on Pro.
Integration Errors
A log of failed integration requests — for example, calls to your connected bookkeeping system that didn't go through. Each row shows the integration, which area it affected, an error code and message, and when it happened. You can filter by date range.
Note: This is a read-only log — there's no way to retry or dismiss an error from here.
Email History
A log of emails sent from BOS. Each row shows what the email relates to, its ID, delivery status, any rejection or bounce details, who it was sent from, the recipient's address, and when it was sent. Filter by date range and a general Sent / Failed status.
Note: You can't view an email's full content or resend it from this page.
Find archived / legacy pages
If your company still uses certain older features, a Archives section links out to: Booking migration, Bookings, Time management, and Reports.
What do the fields mean?
Integration status
Integrated once connected; otherwise an "Integrate" action is shown. Only one of Fortnox or Visma can be connected at a time.
Sender name
The name shown to customers when they receive an SMS from your company. Letters, numbers, and spaces only, up to 11 characters.
SMS status
Active once approved, or Awaiting approval while a new activation request is being processed.
Default sales account
The Fortnox account your invoices are booked against by default.
Unsocial Hours Bonus rule
A name, a time range, and either specific weekdays or "Red days only" (public holidays), linked to the time code that records the extra hours.
Weekly Work Plan
A named template with a total weekly hours figure, and hours set for each individual working day.
Disable all customer changes
A master switch that overrides the date-change and cancellation settings below it, blocking every customer self-service request when turned on.
Allow date change requests / Allow cancellation requests
Whether customers can request a date change or a cancellation on their own orders from the customer portal. Each has its own rule for how many days before the order it can still be requested.
Visible fields
The order details customers can see on their own bookings in the customer portal — for example address, price, employee name, or notes. If nothing is set, all fields are visible.
Module
A whole feature area of BOS (for example Proposal, Absence, or Eboka) that can be switched on or off for your company.
Working time threshold / Break duration
For each auto break-deduction rule: the number of hours an employee must work before a break is deducted, and how much break time gets deducted when they reach it.
Payment term code
A short code (letters and numbers, up to 10 characters) identifying the payment term — required alongside its title, and used for matching against your bookkeeping integration if you have one connected.
Good to know
- Only owners and admins with settings access can open Settings; some rows are owner-only, and non-owners see them as read-only or hidden entirely.
- Several sections — Organization Schedule setting, Punch time setting, Unsocial Hours Bonus, Attachments, and External API — require the Standard plan or higher.
- SMS and the External API add-on are paid features and aren't available on a trial.
- Editing the Organization Schedule, Punch time, and Break Time settings needs the "update settings" permission — owners can always edit them regardless.
- Module Visibility changes are staged until you click Confirm — but once confirmed, they apply immediately with no undo prompt.
- Archives only appears for companies still using an older version of certain features, and just links out to those legacy pages rather than offering archive/restore actions itself.
- The Proposal and Notifications sections shown here are documented in their own dedicated guides.
